Vendor Policies
Marketplace Space
Vendor badges must be worn for setup, during the event,and for tear-down.Vendors must agree to remain setup during all openhours of the Ai-Kon Marketplace. No early move out is permitted without prior consent from the Vendor room staff. Electrical services are available at additional charges. These services are provided by the Winnipeg Convention Centre. Please inquire if required. Please order all services in advance as on-site charges will be more expensive. Vendors must respect the space boundaries they purchase and cannot expand beyond any dimension allotted.
Bootleg Policies
Please be advised that we do not allow any item that is not genuine and does not have a proper license to be sold at ourconvention and we operate under a zero tolerance policy. If you have merchandise that is under suspicion, please either check its authenticity or simply do not bring it to the event. If you are concerned about your merchandise please contact the Vendor Coordinator, Assistant Vendor Coordinator, or any of the executive level staff for clarification. Should a vendor be found selling unlicensed merchandise, Ai-Kon be enacting a two strike policy.
The first strike: you will be requested to remove the offending item(s) off the sale floor. Further violations may result in being asked to leave the area immediately and cease all sales of any items and possible ban from future Ai-Kon events. Ai-Kon mandates that the onus of proving legitimacy lies with the vendor
Weapons Policy
No weapon sales to minors (those under the age of 18) will be tolerated. If you are found to have sold to a minor you will be asked to stop selling weapons, may be asked to leave the Marketplace and based on the circumstances, legal action may be warranted. This is a federal violation and Ai-Kon will uphold the law to the best of its ability and is obligated to reportall illegal transactions to the appropriate legal authorities.
All vendors selling weapons are required to adhere to policies and procedures for the sale and safe handling of weapons which may include,
but is not limited to:
-No steel, edged, or wood weapons may be sold to patrons under the age of 18.-Receipts must be provided with all weapons upon sale as proof of purchase.-Weapons must be sold in its packaging.
-No weapons during the sale will be removed from the table area of the vendors space.-Ai-Kon will reserve the right to revoke the distribution of weapons from vendors upon infringement of these regulations.
Adult Merchandise
Vendors agree not to sell or distribute any adult material to minors. All 'Adults Only' material must be either behind the table, or if displayed, must be bagged and/or covered so that minors cannot open it. Any adult material depicting nudity or sexual conduct much be covered (blinded). Adult videos and magazines are not to be openly displayed.
Payment
Vendors understand the payment policy and agrees to pay the fees as listed on the Vendor Application Forms
Amalgamation of Businesses
All individual vendors must register their business with Ai-Kon prior to the event in which they wish to participate. The registration of two or more vendors under one business name or the use of selling at Ai-Kon is strictly prohibited.
Refunds and Cancellations
Vendors that cancel prior to May 30th 2015, will be able to receive a full refund. Requests made prior to June 13th, 2015 will receive a 50% refund. Requests made after June 27th, 2015 will not be refunded.
Sales tax
Vendors are responsible for collection of GST & PST (when applicable) as required by law.
Fire Regulations and Cleanliness
Vendors must maintain their areas cleanliness both during and after the event. Vendors will be responsible for any damages caused by them to the event space. All vendor displays must meet fire codes, and will be subject to fire marshal inspection. No portion of a display, boxes materials, etc., shall obstruct any aisle or doorway.All fire extinguishers, hose cabinets, fire exits, fire alarms cannot be blocked or covered at any time during the show.
Smoking or alcohol is not permitted in the RBC Convention Centre of Winnipeg.
Liability & Security
Ai-Kon and the RBC Convention Centre Winnipeg are not responsible for any theft or loss. Vendors are responsible fortheir own security during the show hours. There will be security provided during the closed hours of the Marketplace.The vendor agrees to protect, and save Ai-Kon, the promoter of the event, forever harmless from any damage(s) orcharge(s) imposed of violations of any ordinance or regulation by the Exhibitor, his/her employees or agents, as well as failure to comply with the terms and agreements of this contract. Further, Vendors shall at all times protect, indemnify,save and keep harmless Ai-Kon against and from any loss, cost, damage, liability, or expense which arises out of or fromby reason on any acts or omission of the Vendor, his/her employees or agents.In the event that the Ai-Kon or any part of the event space thereof is unavailable, whether for the entire event of a portion of the event, as a result of fire, flood, tempest, snow storm, or other such cause, or as a result of governmental intervention,malicious damage, acts of war, strike, labour dispute, riot, or agency which Ai-Kon has no control, or should Ai-Kon decide that because of any such cause it is necessary to cancel, postpone or re-site the show, or reduce installation time,exhibit time, or move out time, Ai-Kon shall not be liable to indemnify or reimburse the Vendor in respect of any damage or loss, direct or indirect, arising as a result thereof. Ai-Kon shall have the full power in the interpretation andenforcement of all contract regulations contained herein, and the power to make such amendments thereto, and such further rules and regulations as shall be considered necessary and proper. The foregoing represents the agreement between the undersigned Vendor and Ai-Kon for the convention held July 17th -19th, 2015.Set up and move out instructions will be provided in advance.
